Essentia Recruitment Solutions (‘the Company’) is a recruitment business who are committed to protecting and respecting your privacy, we are committed to provide work-finding services to its clients and work-seekers (candidates). As a company we must process personal data to continue to provide these services and therefore we act (the Company) as a data controller, we use integrated recruitment software in order to do this.
As part of the recruitment process you may give your personal details to the Company directly, such as on an application or registration form, a reference, or via our website, job board or alternatively we may collect them from another source such as a direct email from yourself regarding a job opening. Where you apply for a job opening via the application function on a job site or similar online service provider (“Partner”), you should note that the relevant Partner may retain your personal data and may also collect data from us in respect of the progress of your application. Any use by the Partner of your data will be in accordance with the Partner’s Privacy Notice.
The Company must have a legal basis for processing your personal data. For the purposes of providing you with work-finding services and/or information relating to roles relevant to you we will only use your personal data in accordance with the terms of the following statement. At all times we will comply with current data protection laws.
Collection
The Company will use integrated recruitment software facilities to link the data you provide to us, with other publicly available information about you that you have published on the Internet – this may include sources such as LinkedIn and other social media profiles. The Company will collect your personal data (which may include sensitive personal data) and will process your personal data for the purposes of providing you with work-finding services. This includes for example, contacting you about job opportunities, updating our databases, arranging payments to you and developing and managing our services and relationship with you and our clients. We may receive your personal data from a third party who recommends you as a candidate for a specific job opening or for our business or a referee to check suitability for a job finding.
If you have agreed to this through an opt-in we may also send you marketing information and news via email/ text. You can also at any time opt-out from receiving these by simply emailing “unsubscribe” when you receive these communications from us.
Data retention
The Company will retain your personal data only for as long as is necessary for the purpose we collect it. We must also keep your payroll records, holiday pay, sick pay and pension’s auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation. This is currently 3 to 6 years.
